🔄 How Stripe Data Is Synced Into QuickBooks

Sush.io syncs your Stripe transactions into QuickBooks Online by recreating the flow of money from Stripe to your bank account. Depending on how you handle payouts, there are two possible use cases:


1️⃣ Automatic Stripe Payouts (Most Common)

This is the default for most businesses — Stripe transfers funds to your bank account automatically.

Here’s how Sush.io handles it:

  • For each Stripe payout, Sush.io creates a bank deposit in QuickBooks, matching the amount received in your bank account.

    The deposit includes:

    • Sales (as undeposited funds, grouped in the deposit)
    • Stripe fees (as expenses)
    • Refunds, disputes, or adjustments (if applicable)
  • The deposit is created in the bank account you selected during setup — this should match the account where you receive Stripe payouts.

✅ This ensures your accounting reflects Stripe activity exactly as it appears in your bank feed — easy to reconcile.


2️⃣ Manual Stripe Payouts / Custom Flow

Even if you manually trigger payouts in Stripe (instead of automatic transfers), Sush.io handles them the same way as automatic ones:

  • Sales Receipts are created and paid into the clearing account
  • Fees, refunds, and disputes are recorded as expenses, also paid from the clearing account
  • When a manual payout is detected in Stripe, we create a Transfer in QuickBooks — from the clearing account to the bank account where the money was received
